    The Benefits Specialist reports to the Benefits Supervisor.

    Job Description



    Leave of Absence Administration

    • Enter leave dates into HRMS system and notify payroll
    • Notify employees on leave of their insurance premium responsibilities
    • Reconcile and process insurance payments sent by employees on leave
    • Process short-term disability claim forms
    • Monitor and adjust arrear balances in payroll system.

    National Medical Support Orders

    • Receive and process new Court Orders

    Benefit Enrollment System

    • Coordinate system configuration to benefit plan changes as needed and each Open Enrollment and works with payroll to make necessary updates for general deductions
    • Monitor file feeds to TPA and make necessary corrections for any errors
    • Facilitate updates for new job codes and pay groups

    FSA Administration & Compliance

    • Track daily ACH transactions for reimbursements and create monthly JV posting
    • Reconcile FSA liability account and monitor schedule 4
    • Monitor file feeds to TPA and make necessary corrections for any errors
    • Section 125 Discrimination Testing – annually upload data requirements to TPA website and facilitate any changes to elections with employees

    401(K) Administration

    • Reconcile Schedule 2 for 401(k) Contributions and Loans
    • Communicate with banking for funding amounts and process JVs to clear schedule after each payroll
    • Day to day contact for vendor questions in regards to participant inquires or payroll files
    • Assist with plan compliance – reporting and audit support

    Insurance Administration

    • Monthly insurance premium payment- generate amount due for each carrier and send
    • Monthly Insurance posting- clear payrolls postings and push employer expenses to the stores
    • Reconcile all controls on the insurance schedule and ensure all balances are 0.
    • Reconcile the medical liability account monthly.
    • Regence administration- send banking weekly draw amounts with back-up and post claims drafted monthly
    • COBRA- Reconcile Discovery Benefits check, give to banking with allocation instructions and pay carriers

    Payroll adjustments

    • Make changes to deductions and send payroll adjustment file every day 1 of payroll
    • Delete/Adjust/Review Arrears report and delete arrears before they pull on paychecks
    • Monitor report for transfer to verify rate or carrier changes

    Union Dues

    • Cross check ADPR report for discrepancies with invoice
    • Cut checks and send monthly payment
    • Track new union employees and termed employees and send out forms as needed
    • Send and retrieve enrollment/medical/dependent verification forms for new union employees and during Open Enrollment
    • Add new union employees into payroll system with correct deduction codes


    • Review Benefits system for life events and facilitate payroll adjustments
    • Monitor daily personnel report for status change to PT and ensure premiums paid back if needed
    • Assist with various department tasks including but not limited to: responds to and resolves employee concerns regarding corporate benefit programs, monitoring benefits email inbox, responding to benefit verification inquires, contact employees on returned mail for address updates, loss of life events, 401(k) Hardships, ESPP Refunds, etc.

    • Working Conditions: Indoor office environment, considerable use of telephone, computer and other office equipment

    Lithia Minimum Hiring Requirements

    • High school graduate or equivalent.
    • 18 years or older
    • Possess a driver’s license in your state of residence
    • Pass a motor vehicle report
    • Pass a 7-year criminal background check
